ChatGPT: the tool that will bring AI to every employee's daily life

Writing emails, summarizing documents, preparing presentations in other languages, and getting the relevant information out of all sorts of texts. Communication between employees at the same company is essential for better performance. We combine our daily tasks with many others that revolve around language, both oral and written, which makes it possible to carry out all our projects successfully.

Applying the ChatGPT tool and relying on artificial intelligence can facilitate many of these tasks in our day-to-day work. If each employee has an artificial intelligence tool capable of writing emails, summarizing complex ideas, and translating texts, they will see a boost in efficiency and productivity. When ChatGPT is used in this way in the employee’s daily work, it allows them to have access to this technology, practically giving them superpowers and making our work much simpler.

More and more people and companies are seeing the value of integrating the ChatGPT technology into their daily work. This is the case with Ferrovial, which has designed a specific ChatGPT tool that can generate and analyze text using artificial intelligence. The aim of integrating this tool into the businesses is to support the company’s employees and reduce the amount of time and effort they spend on tasks by offering them help with it through technology. 

Let’s imagine, for example, the day-to-day life of a construction manager who has a ChatGPT tool. When sending an email to a client, the public administration they’re working with, they could use the artificial intelligence tool and save time. In other words, they would simply have to tell the tool, “I want you to write to the director of infrastructures on the City Council and tell them that we’re requesting the street cut off by renovation work to be reopened to traffic,” for one example. 

With just one click, the artificial tool would generate the text based on the knowledge and information provided. The construction manager would simply have to review it, correct it if necessary, and send it. It can be used the same way for many other tasks:  “Translate this text into German,” ”Give me a summary of the key points of this document in Spanish,“ or ”Improve the grammar of this text in English.”

All this lets employees save time, improve their written communication, and spend more effort and resources on other tasks. In other words, using artificial intelligence in this way would allow them to gain efficiency and productivity. This is especially important at large companies like Ferrovial, where a significant amount of data and information is handled and many interactions with numerous interlocutors and agents take place every day. 

Privacy and confidentiality, first and foremost

While it is a very useful tool, there may be those who still have their reservations about matters of privacy and confidentiality surrounding the information that ChatGPT manages. But there are highly secure ways to implement this tool This is the case with Ferrovial’s Innovation and Digital Hub team, which has developed this tool in the Microsoft Cloud environment based on Azure Open AI services. This makes it possible to work in a secure environment for data and information: unlike other tools, which use public data on the website, the ChatGPT tool, ensures that the data to be processed is internal and, therefore, confidential information.

It is very important for a human to be in the loop: the tool only makes sense as long as it is used to facilitate the tasks performed by our employees. In other words, the results it shows always have to be validated by us.

The intelligence that never stops learning

One of the main features of ChatGPT implemented at a company like Ferrovial is that it is a project that is going to be in constant evolution at Ferrovial. In later versions of the tool, its artificial intelligence can be trained with internal information related to the company’s business units and collected through years of experience. 

This will make it possible to get more specific information: for example, if a construction manager asks ChatGPT for information on how to act in case of an accident, the tool will never say, “Call 112” (a recommendation that a general artificial intelligence chat would probably give). Instead, they will be able to obtain specific information on how to implement the protocol established bythe company’s Health and Safety Department.

Work that adds up

Microsoft’s partnership wasn’t the only collaboration needed to make ChatGPT a reality at a company like Ferrovial. For the creation and possible evolution of this tool, it’s essential to get ideas from the various business units, such as Ferrovial Construction, Cintra, and the Airports division, to name a few. After several brainstorming sessions, several tests, and a lot of teamwork, ChatGPT has been implemented satisfactorily and can be used by all employees. 

Currently, work is being done with the different business units at the company to define the use cases where Azure Open AI technology can bring more value to the business. The next steps will lead to the development of these use cases and implement this technology in several business units, focusing on those that can bring us the most value.
